Set up the workflow before you hire the next person

Hiring into chaos just spreads the chaos

A second salesperson does not fix a process that lives in someone’s head. They invent their own version. Within a month you have two ways of logging a lead, two ideas of what “interested” means, and no shared view of the pipeline.

The system has to exist before the seat is filled. Decide the stages, who owns a new lead, and what “done for today” looks like. Then put those rules in the CRM so the new person follows the same path on day one.

A workflow is a short list of decisions

You do not need a complicated map. A useful workflow answers four questions. Where does a new lead land? Who is it assigned to? What must happen before it can move forward? What message goes out if they miss a call or a meeting?

When those answers are settings instead of habits, the business can take more leads without a longer morning meeting. Auto-messages for a missed call, a daily assignment limit, and a shared status list are enough to start.

Scale is repetition that does not depend on one person

A founder can hold fifty conversations in memory. They cannot hold five hundred. Workflows are how the next hundred leads get the same care as the first ten: a source, an owner, a next step, and a record of what already happened.

Set that up while the team is still small. The CRM then becomes the place new people learn the business, instead of a tool they are asked to “update when they have time.”
